A group of commercial entities with diverse revenue-generating activities is seeking a highly organized and proactive Senior Executive Assistant to support the Group Executive Office, including Directors, Trustees, and senior executives. The role requires managing complex administrative tasks in a fast-paced environment and acting as a key liaison to ensure seamless coordination and efficient operations of the executive team.
Key Responsibilities
- Manage diaries, schedules, and travel arrangements for Directors and senior management.
- Take minutes during Board meetings and manage correspondence.
- Prepare reports, presentations, and documentation for Board/Committee meetings.
- Produce regular reports, weekly updates, and summaries for individual Directors.
- Maintain comprehensive and efficient filing systems for all critical records and documents.
- Ensure the archive is organized for efficient storage and file retrieval, complying with internal and regulatory standards.
- Maintain trackers and compliance checklists for statutory requirements.
- Maintain employee records and provide day-to-day HR administrative support according to the HR policy framework.
- Handle property-related administrative and contractual matters, including lease agreements, renewals, and tenant liaison.
- Coordinate contractors, caretakers, and service providers, and obtain quotes for repairs and refurbishments.
- Ensure compliance with local authority requirements, including leases.
- Support cross-functional office operations in Accounts, Legal, and Office Administration to ensure smooth operations.
- Maintain strict confidentiality in all communications and documentation.
- Exercise the highest level of discretion in handling sensitive information.
Minimum Requirements
- Bachelor’s degree in a business-related field, with a certificate or diploma in Secretarial Studies or other Office Administration qualification.
- 4+ years supporting senior executives or Directors in a commercial or property/real estate environment.
- Proven experience in HR administration, office management, document management, archiving, and property administration.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with document management software, HR systems, or property management tools.
- Exceptional organizational and time-management skills.
- Strong interpersonal and communication skills.
- High level of discretion, integrity, and professionalism.
- Ability to prioritize, work independently, and perform under pressure.
