Our client, a reputable organisation with interests in residential, commercial, and undeveloped real estate, is seeking a competent and trustworthy Property Manager

Overall Responsibility

Reporting and acting on behalf of the Directors and Trustees, the Property Manager will oversee the management, security, maintenance, and day-to-day operations of a diverse property portfolio.

Key Responsibilities

  • Ensure the safety, security, and efficient daily functioning of all properties, including timely incident response and monitoring for security breaches.
  • Maintain essential systems, including IT and CCTV, ensuring their reliability and effectiveness.
  • Maintain relationships with police and local law enforcement agencies (OCPD, OCS) on security matters.
  • Investigate incidents, prepare reports, provide updates, and escalate urgent matters to Directors.
  • Coordinate procurement by sourcing and evaluating quotations, negotiating costs, managing vendor records, and reporting any cost irregularities.
  • Maintain professionalism, accuracy, and clarity in correspondence and reports to Directors and stakeholders.
  • Act as the primary liaison for Directors with managing agents and service providers, overseeing maintenance, safety inspections, and security personnel.
  • Perform routine site visits to track repairs, upgrades, and compliance, ensuring vendor performance aligns with expectations.
  • Supervise managing agents and service providers for commercial properties, promptly reporting issues for Director review and escalating urgent matters.
  • Oversee emergency response systems and staff training, ensuring timely payment of utilities and reporting on tenant occupancy and leasing activity.

Requirements

  • A Bachelor’s degree in Property Management, Real Estate, Facilities Management, Business Administration, or a closely related field is highly desirable.
  • Certifications in Property Management, Security Management, or Facilities Management will be a distinct advantage.
  • Experience in property or facilities management, with demonstrated responsibility over a varied property portfolio.
  • In-depth knowledge of building systems, maintenance procedures, safety protocols, and security operations.
  • Excellent organizational and communication skills
  • Proficiency in Microsoft Office Suite and other relevant IT tools.
  • High standards of integrity, confidentiality, and professional conduct.
  • Ability to respond swiftly and effectively to emergencies and remain available outside normal working hours when necessary.
  • Self-driven, dependable, and capable of working independently with minimal supervision.
